Community Guidelines & Rules of Participation


By participating in PRSM X-Change, you hereby agree to be bound by and warrant your full compliance with the following rules and conditions. Participation in this group, via the email list implies acceptance of these terms.

Thank you for being aware of this agreement and for being a valuable, productive contributor!

  • Include Your Name. To frame your perspectives; it's useful to include your name, affiliation, phone number, location, etc. Vcard should not be included as part of your auto-signature, because viruses can attach themselves to vcards.

  • Use the Subject Line. State concisely and clearly the specific topic of the comments in the subject line. This allows members to respond more appropriately to your posting and makes it easier for members to search the archives by subject.

  • Text Control. Include only the relevant portions of the original message in your reply, delete any header information, and put your response before the original posting. Do not use color, special characters, or formatting codes in your messages. Emails written in all caps are interpreted as "shouting." Use proper upper/lower case type in your posts.

  • Think About Your Audience. Only send a message to the entire list when it contains information that may benefit everyone.

  • Be Honest, Professional and Constructive. The discussions on the lists are meant to stimulate conversation and not to create contention. Let others have their say, just as you may. We encourage you to openly share your opinions and perspectives, while being professional, and courteous of others. Honesty and frankness are important, especially when accompanied by constructive analysis and problem-solving.

  • No Stealing Intellectual Property.  Do not post any information or other material protected by copyright without the permission of the copyright owner. Do not use any words, logos or other marks that infringe upon the trademark, service mark, certification mark, or other intellectual property rights of the owners of such marks without the permission of such owners, or post confidential information or any information that infringes upon the proprietary, privacy or personal rights of others.

  • Consequences For Misuse. In the event that any inappropriate posting or unauthorized use of the listserv is brought to PRSM's attention, including but not limited to prohibited posting and usage as outlined herein, PRSM will, at its sole discretion, take any and all appropriate action. PRSM reserves the right to terminate, without prior notice, the listserv access of any user who does not abide by these guidelines.

  • Attachments. Should not be larger than 512K.

  • Solicitation. Promotions or solicitations of any products or services by anyone who has a vested interest in those items are prohibited. Vendors may respond to queries made by PRSM X-Change subscribers about specific products. Program producers may solicit comments about their programs. Posting any material regarding specific prices or fees charged or paid is not allowed. Posting any information concerning prices, discounts, or terms and conditions of sale either obtained by or offered to another entity is not allowed.

  • Submissions.

    Appropriate Submissions:

    • Postings about substantive issues covering retail maintenance and management and which are relevant to at least a subset of the membership are generally appropriate.
    • Announcements of conferences, events, or other resources may be posted if they are of broad interest to the community and are approved by the PRSM X-Change Administrator.

    Inappropriate Submissions:

    • Commercial solicitations, advertisements (SPAMS) or invitations to commercially-hosted events, including product or service user groups.
    • Topics generally irrelevant to the community.
    • Personal communications between individuals.
    • Replies to individuals' requests for information which is obviously not of significant interest to the membership at large.
    • Personal criticism of individuals or even substantive contributions which violate professional protocol.
    • Personal or confidential information about others.
    • Messages whose content may present legal problems for PRSM Association or its members.
    • Messages of inconsequential or non-substantive content, such as merely posting "I agree" without contributing substantively to the discussion. Messages devoted solely to humor or light conversation.
    • Job announcements for positions in retail facilities maintenance are not acceptable. We encourage users post detailed job descriptions on the PRSM Career Center.
    • Administrative messages, such as remove me from the list, through the list server. Instead, contact the List Serve administrator directly to change your settings or to remove yourself from a list.
  • Defamatory, anticompetitive, and otherwise offensive material. Participants must not post or transmit any unlawful, threatening, abusive, libelous, defamatory, obscene, pornographic, profane, offensive, anticompetitive, or otherwise objectionable information of any kind, including, without limitation, any transmissions constituting or encouraging conduct that would constitute a criminal offense, give rise to civil liability, or otherwise violate any local, state, national or international law. PRSM does not condone and will not be responsible for any such materials or resulting liability, including antitrust liability. In no event will PRSM be liable for any special, indirect or consequential damages or any damages whatsoever resulting from loss of use, data or profits, arising out of or in connection with the use or performance of any information posted on this site.

  • This Document Can Change. This PRSM X-Change policy is subject to change depending upon the needs and requirements of PRSM and the PRSM X-Change subscribers.

  • Complaints. Complaints should be directed to the PRSM X-Change Administrator.

  • Ethical Violations. PRSM X-Change members will adhere to the PRSM Code of Ethics. Violations of PRSM ethical principles should be reported to the PRSM X-Change Administrator for possible referral to the PRSM Ethics Committee.

Disclaimer/Liability of Postings


The posting PRSM X-Change subscriber is responsible for all content posted, uploaded, e-mailed or otherwise transmitted. The PRSM X-Change is not moderated. While it is administered by the PRSM Association office, the views and opinions expressed on the List Serve by its subscribers are not reviewed, endorsed or approved by PRSM or any of its representatives. PRSM reserves the right to bar any subscriber who violates any of the PRSM Guidelines and Agreement if such is deemed to be in the interest of the organization.

By subscribing to the PRSM X-Change, you acknowledge that you have read this agreement and that you abide by the PRSM guidelines and agreement.
